Invoice Tracking Software

Spreadsheets track invoice dates — but they can't tell you which invoices need attention today, what you said last time you chased, or how long each payment has been overdue. InvoiceGrid's visual invoice tracking system gives you a Kanban pipeline for every outstanding invoice, so you always know the state of your accounts receivable at a glance.

What It Does

Visual Kanban board

See all your invoices in a Kanban pipeline: Pending → Reminded → Follow-up → Escalated → Paid. Move cards as you chase. See your entire AR pipeline at a glance without digging through spreadsheets.

Overdue day counter

Each invoice card shows how many days overdue the invoice is — calculated automatically from the due date you enter. Immediately see which invoices need urgent attention.

Today View for daily AR management

InvoiceGrid's Today View surfaces every invoice that's due or overdue and needs attention right now. Build a 5–10 minute daily AR routine with zero cognitive overhead.

Track invoice status across all clients

Whether you have 5 clients or 50, InvoiceGrid shows all outstanding invoices in one place — by stage, by due date, or by client. No more checking each client individually.

For context on accounts receivable management, see AccountingTools: What Is Accounts Receivable?.

How It Works

1

Add an invoice

Enter the client name, invoice number, amount, due date, and any notes. Takes under a minute. The invoice appears in your Pending column.

2

Check the Today View each morning

The Today View shows every invoice due today or overdue. This is your daily AR dashboard — check it for 5 minutes each morning.

3

Move invoices through stages as you chase

When you send a reminder, move the invoice to 'Reminded.' After a follow-up, move it to 'Follow-up.' After escalation, 'Escalated.' When paid, mark it 'Paid.'

4

Log every action in the chase history

Each time you take action on an invoice — call, email, text — log it in the chase history. The full timeline is always available.

Important context

InvoiceGrid is not an accounting or invoicing tool. It doesn't create invoices, track expenses, or handle taxes. It's the payment collection layer that works alongside your existing invoicing tool — whether that's FreshBooks, Xero, QuickBooks, or a PDF invoice. See the pricing page for full feature details.

Frequently Asked Questions

How is InvoiceGrid different from using a spreadsheet to track invoices?+

A spreadsheet stores invoice data. InvoiceGrid manages the collection process. The key differences: InvoiceGrid's Today View tells you who to chase today; the chase history logs every follow-up; the email generator creates the reminders; and the Kanban board shows the pipeline visually. Spreadsheets do none of these things automatically.

Can InvoiceGrid track invoices created in another tool (QuickBooks, Xero, FreshBooks)?+

Yes. InvoiceGrid doesn't integrate directly with accounting tools, but you log invoice details in InvoiceGrid after sending them from any system. It becomes the collection layer on top of your invoicing tool.

How many invoices can I track?+

Free plans allow up to 5 active invoices. Paid plans (from $12/month) have no invoice limit — suitable for businesses tracking 10–500+ invoices per month.

Can I filter invoices by client, amount, or overdue days?+

InvoiceGrid's Kanban board shows all invoices by stage. The Today View filters for invoices needing attention now. Additional filtering options are available in the paid plans.

Does InvoiceGrid work for both B2B and B2C invoice tracking?+

Yes. InvoiceGrid works for any invoice type — B2B invoices to corporate clients, B2C invoices to individual customers, and any mixed model. The chase process adapts to the relationship.
