Invoice Status Tracker
Sending an invoice is easy. Knowing where it stands — whether it's been seen, whether it's overdue, whether you've already followed up, and what your client said — is the hard part. InvoiceGrid's invoice status tracker gives you real-time visibility into every outstanding invoice across all your clients, so you always know exactly where your money is.
What It Does
Real-time invoice status pipeline
Every invoice in InvoiceGrid has a status: Pending, Reminded, Follow-up, Escalated, or Paid. You control the status as you chase — and the Kanban board shows all statuses at a glance.
Overdue days calculated automatically
InvoiceGrid calculates how many days overdue each invoice is from the due date you enter. You see the aging counter on every invoice card — no manual date math required.
Client-level and invoice-level views
See all outstanding invoices from a specific client, or view your entire AR portfolio sorted by overdue days. Know immediately who owes you the most and who's been outstanding the longest.
Total AR at a glance
InvoiceGrid shows you the total outstanding amount across all invoices — your AR balance — so you always know how much money is tied up in unpaid invoices.
For context on accounts receivable management, see AccountingTools: Invoice Aging.
How It Works
Log your invoices
Add each outstanding invoice: client name, invoice number, amount, and due date. InvoiceGrid starts tracking immediately.
Check invoice status daily
The Today View shows all invoices at Pending or Reminded status that are overdue. The Kanban board shows the full pipeline.
Update status as you chase
When you send a reminder, move the invoice to 'Reminded.' When you escalate, 'Escalated.' When paid, mark as 'Paid.' The status reflects the real-world state of each invoice.
See your full AR picture
At any moment, InvoiceGrid gives you a complete view of your AR: total outstanding, breakdown by stage, and which clients have the most overdue.
Important context
InvoiceGrid is not an accounting or invoicing tool. It doesn't create invoices, track expenses, or handle taxes. It's the payment collection layer that works alongside your existing invoicing tool — whether that's FreshBooks, Xero, QuickBooks, or a PDF invoice. See the pricing page for full feature details.

Frequently Asked Questions
Can I see all invoices for a specific client?+
Yes. InvoiceGrid shows all outstanding invoices organized by client. You can see at a glance which clients have multiple outstanding invoices and the total amount owed by each.
Does InvoiceGrid show me when an invoice was last chased?+
Yes. The chase history for each invoice shows a timestamped log of every action taken — when reminders were sent, what tone was used, and any notes you added. You always know exactly when the last follow-up occurred.
How is invoice status different from invoice aging?+
Aging tells you how old an invoice is (e.g., 0–30 days, 31–60 days). Status tells you what action has been taken (Pending, Reminded, Escalated). InvoiceGrid tracks both — so you know not just how overdue an invoice is, but what you've done about it.
Can I mark an invoice as partially paid?+
Yes. You can add notes to an invoice's chase history indicating a partial payment was received, and update the outstanding amount. This keeps your AR picture accurate.
Does InvoiceGrid integrate with my accounting software for status updates?+
InvoiceGrid doesn't currently sync with accounting software automatically. You update invoice status manually as you receive payments or take actions. This manual control ensures accuracy and gives you full oversight of the chase process.
